Sharing Dashboard within organisation

Hi All,

I have a question here. Urgently hoping to get it solved.

We have built dashboard and published it to the web. I want to share it to many employees in my organisation who does not have power bi license.

From what I understand both the sender and the recipient needs license to have a look at the dashboard.

Is there any way to share it with people within my organization without PowerBI license

Hi @HariGanesan. If you used the “Publish to Web” method and thus made the report public, you can just share the URL for others to view/interact with a browser. If the report is in a Power BI workspace, then users will need a compatible license to view/interact with a browser. If licenses cannot be used, then you can share the PBIX file itself and users with Power BI Desktop installed can launch the report themselves.

This may not be an option for you, but if you have access to a Power BI Premium workspace, you can publish the report to that workspace, and your viewers will not be required to have a Power BI license. At least that has been my experience with reports I have published for viewing by my entire company.

Let me see if I can explain what we are using and doing.
We use the Power BI Server version of the designer (the one that has updates once a quarter). We upload our PBI reports to a Server with the Power BI Server software loaded on this server. Our users go to a link that we have as a bookmark for them to be able to execute the reports. We publish a couple of these to the www.powerbi.com site. We DO have Power BI Pro licenses.

Here is our dilemma:
We have the need / requirement to have our Power BI detail data to be printed/emailed (this cannot be done, you can only print/email what you see in the Power BI view). With our Pro license we can do subscriptions on the reports on the powerbi.com site and email the report to our users. They only see the one page view.

We do know that Power BI Report Builder (Paginated) can produce the same detail data view but without any of the visual analytics, this can be printed, published to the cloud and emailed -BUT you have to have Premium Capacity license (this is $4995/month).

Now for your help:
Do any of you have any insight on how to do any of this a better or different way, getting the detail data of the PBI report so it can be printed like the Paginated report does?
My company will go back to using Crystal report which produces reports with selectors, drill down, export and emailing at $20/year.

Hi @jrubino77. Power BI Report Builder is very similar to an SSRS report (both use .rdl files). If you have an instance of SQL Server in use, you’ll have a license for SSRS; perhaps you can leverage SSRS reports (so you won’t be subject to the characteristics of Power BI reports).
